Ticket preparation March 29th

Ticket sales begin April 5th thru May 3rd
Ticket sellers are responsible for the tickets they check out. In order to project sales, sellers are expected to turn in money weekly during the sales period.


Meeting Notes

  • Thursday, 2/25
  • Arty – BBQ review
    • Mentioned that he had pushback on raising plate price to $12. Suggested boy profit be reduced to $4/plate from $5/plate.
  • Jason – gave BBQ phases:
    1. preparation
    2. actual event
  • Methods for sponsorships suggested
    • Bill G. – sponsorships can provide fliers to pack with sales
    • John S. – coupons
    • Email to troop was suggested to ask for sponsorship leads. Mike H. to send email.
  • Mike H. to follow up on suppliers. Volunteered to assist with procurement.
  • Arty B. – would like event documented in pictures and video
  • Elaine S. to request last year’s ticket and flier design files for all to review for suggestions.

    Thursday, 2/18
  • Troop fundraising goal is $1,500. This amount is the troop portion and does not include the Scouts’ amount
  • Job that have volunteers are
    • Arty Bentch - cooking
    • Paul Purcell - cobbler
    • Elaine Steidle - ticket control, expense tracking, web postings
    • Joe Perugini - Scout fun
    • Tracey Colligan - procurement, donations, sponsorship. Sharon Keen volunteered for procurement.
  • Discussed definition of sponsorships – businesses donate cash and we include their logo on the tickets
  • Discussed flier and ticket design. Need to follow up to determine usefulness of flier.
  • Increase in expenses discussed, mainly brisket cost. Mike will ask questions of the BBQ cooking teams at his workplace for supplier suggestions.
  • Arty gave a quick recap of the event for those new to the troop and BBQ weekend.
  • Suggestion made to assign parents to BBQ duties at the next troop meeting
  • Ways to improve communication of information through the troop discussed.
    • Pulling parents on the edges of the meeting into the small groups
    • whiteboard with current announcements
    • sending out email reminding parents about the existence of the website.
